Mandates

Create mandate

  1. Find a person who needs to have mandate created:

    • Persons > Search.

    • Click the Person name or ID number to access person details.

  2. Create mandate for a person:

    • From the content menu choose Direct debit > Mandates.

    • Click the Add new mandate button.

  • Fill in the new mandate details > Save.

Find mandates

You can find mandates via the Persons or the Direct debit modules:

  1. Persons > Search.

  2. Click the Person name or ID number to access person details.

  3. From the content menu choose Direct debit > Mandates.

  4. Click the Mandate ID to access the mandate information.

Upload mandate documents

  1. Find the mandate that needs to be updated.

  2. From the content menu choose Documents.

  3. Click the New document button.

  1. Choose file from your computer > Save.

Inactivate mandate

  1. Find the mandate to be inactivated.

  2. Click the Inactive button.

Payments with direct debit

Introduction

Direct debit is a payment method that automates the payment collection from debtor accounts in other banks

Direct debit scheme is commonly used for regular utility bills, recurring subscription services.

The direct debit scheme can be also used to automatically collect loan repayments. Refer to the Loan repayments with direct debit article for more information.

Definitions

Direct debit main items are:

  • Debtor - the legal person or business who pays direct debit and has signed mandate.

  • Creditor - a party that who initiates collection of funds from debtor and receives the money. Is responsible for keeping/validating the mandate.

  • Mandate - the debtor's permission for a creditor to debit their account at another bank.

  • Collection - the process where a creditor requests a payment from a debtor's account based on a mandate.

Collections

Create collection

To create a collection, you need to access the account that will send the direct debit payments.

  1. Find account:

    • Via Persons section in the main menu,

    • Via Accounts section in the main menu.

  1. Persons > Search.

  2. Click the Person name or ID number to access person details.

  3. From the content menu, choose Accounts > Accounts.

  4. Click the Account number to access the account details.

  1. Create collection for account:

    • From the content menu, choose Direct debit > Create collection.

    • Fill in the Create collection parameters > Initialise.

Search collections

You can search collections via the Accounts or the Direct debit modules:

  1. Accounts > Search > Accounts.

  2. Find the account with collection.

  3. Click the Account number to access the account details.

  4. From the content menu, choose Direct debit > Search collections.

  5. Click the Collection ID to view the collection details.

Manage collections

You can find collections that require additional attention at the direct debit dashboard. To access the dashboard:

  1. Click the Tuum logo at the top-left corner.

  1. On the main screen, look for the Direct debit section. There you will find the following management options:

    • Collections for clarification,

    • Collections waiting for AML result,

    • Collections for AML approval,

    • AML declined collections.

  1. Click the required option > click the Collection ID to view the collection details.

Collections for clarification

This section shows collections in the ERROR status.

  • To cancel the collection, click the Cancel button.

Collections waiting for AML result

This section shows collection in the WAITING_FOR_AML status.

  • At this step, you can view the Actions log or check the AML processes.

Collections for AML approval

This section shows collection in the AML_REVIEW status.

  • You can decline or approve the AML process by clicking AML decline or AML approve.

AML declined collections

This section shows collections in the AML_DECLINED status. Depending on the collection direction, outgoing or incoming, you will see the following options:

  • For the AML_DECLIDED incoming collections, you can return the collection, by clicking the Return button.

  • For the AML_DECLINED outgoing collections, you can reverse collection, by clicking the Reverse button.
